2. Overview
Entrysound is a Discord bot that plays a sound you upload when you join a voice channel, plus a web console to manage that sound. We only process what this requires: your Discord ID, your Discord name and avatar, your email address and one audio file. There is no tracking, no analytics, no advertising and no sharing with third parties for their own purposes. Fonts are served from our own server.
3. Hosting
The website, bot, database and files run at Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany, in data centers in Germany (Nuremberg) and Finland (Helsinki). We have a data processing agreement with Hetzner under Art. 28 GDPR.
4. Visiting the website
When you visit the website, the server processes technically necessary data: IP address, date and time, requested address, HTTP status code, browser identifier (user agent) and referrer. This is needed to deliver the site and fend off attacks. The legal basis is Art. 6(1)(f) GDPR. This data only ends up in short-lived, automatically rotated server logs and is not analyzed or combined with other data.
Cloudflare
For entrysound.long-bui.de we use the content delivery network of Cloudflare, Inc., 101 Townsend St., San Francisco, CA 94107, USA. All requests to the website pass through Cloudflare servers, which process the connection data listed above to deliver the site and protect it from attacks. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is secure and reliable operation. Cloudflare is certified under the EU-US Data Privacy Framework; transfers to the USA rely on the European Commission's adequacy decision (Art. 45 GDPR). 5. Sign-in with Discord
Sign-in works exclusively through Discord (OAuth2, scopes "identify" and "email"). Discord sends us your Discord user ID, username, avatar and email address. We store this data to create your account and link your sound to your Discord account. We do not use your email address for newsletters or advertising.
The legal basis is Art. 6(1)(b) GDPR (providing the service you want to use).

6. Session cookie
After you sign in, we set a session cookie to keep you signed in. It is strictly necessary for the service (§ 25(2) no. 2 TDDDG) and is removed when you sign out or the session expires. We set no other cookies.
7. Your sound
When you upload an audio file, we store the file, a playable version derived from it, the file name and its duration. The files are stored privately in Hetzner object storage in Nuremberg and can only be accessed by you through time-limited links. The legal basis is Art. 6(1)(b) GDPR.
You can delete your sound in the console at any time. This immediately deletes both files and the database entry. Only upload audio you have the rights to.
8. The bot on Discord servers
When the bot is installed on a Discord server, Discord sends it events when members join or leave voice channels (Discord user ID, server and channel). The bot uses this information only at that moment to check whether that person has a sound and then plays it in the channel. These events are not stored. Nothing happens for people without a sound. The bot does not read messages and does not record voice.
The legal basis is Art. 6(1)(b) GDPR for signed-in users and Art. 6(1)(f) GDPR for all other members. Our legitimate interest is operating the bot that server administrators added; without a brief check when someone joins a channel, the bot cannot work.
9. Retention and backups
We keep account data for as long as you use your account. You can delete your account in the console at any time ("Delete account"); this immediately deletes your account, sessions, sound and all related files. Alternatively, email us at hello@long-bui.de. The database is backed up daily in encrypted form; backups are deleted automatically after 14 days. Audio files are not backed up.
10. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on Art. 6(1)(f) GDPR (Art. 21). Just email hello@long-bui.de.

11. Obligation to provide data, automated decisions
You are not required by law or contract to provide your data. Without signing in with Discord, however, you cannot set a sound. No automated decision-making or profiling takes place.
